Learn how staff schedules, service rules, and booking settings work together to control what customers can book.


ℹ️ What "Availability" Means in Tipo Appointment

Availability is the system that decides:

  • When your services can be booked

  • Which staff members can take the appointment

  • Which time slots appear to customers on your storefront

Your booking calendar is generated based on 3 key elements:

1️⃣ The team member assigned to the service 2️⃣ Their working hours 3️⃣ Any blocked dates/times

If any of these limit availability → customers will not see those time slots.


⏱️ How Availability Is Calculated

1. Team Member (Required)

A service cannot be booked unless at least one staff member is linked to it.

Example: A “Yoga Class” service has only Staff 1 assigned → only Staff 1’s schedule controls available times.


2. Working Hours (Base schedule)

Each staff member has a weekly calendar:

Example: “Staff 1 work Monday–Sunday, 8 AM – 4 PM” This creates the default time slots customers can book.

If a staff member is NOT available on a day → no time slots appear.


3. Blocked Dates or Times

This includes:

  • Lunch breaks

  • Time off

  • Meetings

  • Vacations

  • Personal breaks

Blocked times instantly hide those time slots from customers.

🔗 How Everything Works

Example: What customers see

Setup

  • Staff A working hours: 8:00 AM – 4:00 PM

  • Service duration: 1 hour

  • Assigned service: Yoga Class

  • Blocked off: Dec 22–30 (no bookings)

  • Booking date range: Dec 1–31

Time slots on an available day

Pick any available date (for example Dec 15). Staff A works 8 hours, and the service is 1 hour → customers will see:

  • 8:00 – 9:00

  • 9:00 – 10:00

  • 10:00 – 11:00

  • 11:00 – 12:00

  • 12:00 – 1:00

  • 1:00 – 2:00

  • 2:00 – 3:00

  • 3:00 – 4:00

(8 start times, last one starting at 3 PM and ending at 4 PM)

Which dates are bookable?

  • Bookable dates: Dec 1–21 and Dec 31

  • Not bookable (greyed out): Dec 22–30

    • These days are fully blocked because of the Christmas break.

  • Days outside Dec 1–31 don’t show at all because they’re outside the booking window.

So from a customer’s view:

  • On Dec 10 or Dec 15, they’ll see hourly slots from 8:00 → 16:00.

  • On Dec 22–30, they won’t see any times; the dates are disabled/greyed out.

  • On Dec 31, they again see the same hourly slots (8:00–3:00).
